A character certificate is the letter that says you were good. Not that you are enrolled this session. Not that a university conferred a degree. Not that a thana has no file on you. A principal, headmaster, or dean wrote that during those years, your conduct was satisfactory. Then an admission desk, an SSC verification board, a hostel warden, a professional-course office will ask for a photocopy. You can scan character certificate to PDF on phone in a minute and still fail the slot, because the file is a WhatsApp crop of letterhead named IMG_2087, not a character certificate photocopy searchable by the conduct line or by the last institution that signed it.
This is not advice about who writes a character, how many months old it may be, or whether a Class 10 sheet still counts. It is how to turn the letter already in the file — letterhead, wet seal, the sentence about conduct — into one named PDF. On the phone. On-device. No cloud in the path.
The conduct sentence is the photocopy
The Indian ask is a copy of the character, or of the conduct certificate — many mastheads print that English instead. Institution letterhead. Your name as the office spelled it. Parent. Class or course. The years you sat there. Then the payload: during this period his/her character and conduct have been found to be good / satisfactory / to the best of my knowledge. Principal or headmaster. Seal. Date. Sometimes a glued photograph. Not a selfie of the laminate. Not a screenshot of the ERP that still says applied. A copy, as if a xerox had seen the whole letter.
Shop lamps kill the middle of the page first. Colour logos bloom at the top. The seal greys at the bottom. The conduct sentence sits between them, often smaller, often bilingual. Hindi prints चरित्र प्रमाण पत्र or आचरण प्रमाण पत्र. Tamil prints நன்னடத்தை சான்றிதழ். Telugu prints a నడత line. An 8 in the register number becomes a 0. Satisfactory washes into the letterhead tint.
A camera-roll JPEG fails more quietly. The conduct is in the picture. It is not in the file. Search the phone for the college, or character, or conduct, and the roll is mute. July opens a document-verification window. You scroll.
A character certificate photocopy searchable as a PDF is a different object. The sheet is square. The file has a name. Optical character recognition writes the institution, the years, the register number, and the conduct sentence into an invisible text layer. A JPEG cannot answer which principal called you satisfactory. A text layer can.
Conduct is not enrollment. Not the award. Not the police paper.
A bonafide certificate says you are still here, this year, for a named purpose — railway, bank, passport letterhead. A character says how you behaved while you were there. A clerk who asked for character will not hunt for it inside a concession letter. Do not scan the bonafide and label the file character.
A transfer certificate or school leaving certificate is an exit paper. It says you left, and sometimes prints a one-line “conduct: good” in a column. That column is not a character certificate. A degree certificate is the conferment. A marksheet is the table of what you sat. None of those is “upload character certificate (PDF).”
The last institution is the trap. SSC document verification, a B.Ed. window, a nursing college, a state PSC board typically want character from the last school or college you attended — not the nicest laminated sheet from Class 5. A beautiful copy of the wrong years is still the wrong paper.
A police clearance or PCC is a different desk entirely. Passport Seva and a visa file mean the police saying they have no criminal record. A principal’s letter is not a thana extract. Do not scan the school character and label it PCC. Do not scan the PCC and label it character. Two offices. Two files.
An experience letter may print a conduct line on exit from a job. That is employment. It is not the educational character a verification board named. Keep each as itself.
Some colleges now drop a digitally signed copy into DigiLocker. Keep it. Some windows take it. Many still want the physical face: letterhead, wet seal, the conduct sentence, the photograph the principal attested. A locker screenshot is a different object.
One student, one last institution, one sitting, one file. A sibling’s letter will not carry you. Last decade’s Class 12 character is not this year’s last-college photocopy, even when the name is the same.
What the photocopy has to keep
Before the letterhead goes back in the plastic, open the PDF and look, without guessing:
- Institution name and letterhead — school, college, or university — fully in frame, including affiliation if printed
- The masthead as printed: Character Certificate, Conduct Certificate, Character and Conduct
- Certificate or office-register number, every character distinguishable
- Student name as the office printed it, extra initial included
- Father’s name; mother’s if the form has it
- Class, course, or programme, and the period of study — from year, to year. “Student” is not a period
- The conduct sentence, uncropped. Good, satisfactory, excellent, to the best of my knowledge are the payload. Crop the middle of the letter and you photocopied a greeting
- Date of issue. Some desks want a letter not older than six months; an undated sheet is a rumour
- Photograph, if the office glued and attested one. Verification desks match faces
- Principal, headmaster, dean, or authorised signatory — designation, signature, and seal. A cropped footer is conduct without an office
- Reverse, if a later “valid till” or a countersignature lives there
A fold through the conduct line is a reshoot. So is laminate bloom on the photograph, or a thumb on the seal. PDF versus photo is the same fork: a file a portal will take, not a thumbnail a chat backup will kill.
How to scan character certificate to PDF on phone
Treat the phone as the xerox. One last institution. One PDF.
- Out of the sleeve. School-gate plastic is a mirror across the photograph, the seal, and the conduct sentence.
- Dark, matte table. Letterhead is thin and pale. A white counter steals the edge; gloss writes a window on satisfactory.
- Side light, no flash. Colour logos and wet stamps bloom under flash. Tilt until glare leaves the name, the years, and the seal.
- All four corners. Letterhead through officer. Crop the middle and the conduct is gone. Crop the stamp and the judgment is unsigned.
- Reverse in the same sitting if ink lives there.
- PDF, not JPEG. A photo is a picture of letterhead. A PDF is the character certificate photocopy.
- Name it
Character-certificate.pdf. Putting the enrollment or the student name in the filename parks an identity in every folder listing. Let search find those characters inside the file. If you hold two — school and college —Character-college.pdfandCharacter-school.pdfare documents. Do not bind them. - Read the institution, the years, and the conduct sentence out loud. Then search the phone for
characterorconductor that college. Silence means there is no text layer — pictures, not a character certificate photocopy searchable later.
The sheet is often bilingual on purpose. On-device OCR that reads Hindi, Tamil, and Telugu is what makes the conduct line searchable, not just pretty. Scanning Hindi and Tamil documents is that craft, pointed at a principal’s letter instead of a tehsil form.
If the office issued two letters — one character, one bonafide — scan them as two files. The clerk will not unpick a mash of purposes.
On-device, no cloud, because conduct is a judgment about a person
A character certificate carries a name, a parent, a course, often a face, and a written judgment that this person behaved well. Enough for a verification board. Enough for a stranger. A “free” scanner that uploads the page to enhance it is the wrong trade. The shop xerox at least stays on paper you can shred. A cloud OCR copy lives on a machine you will never see.
You cannot usefully black out the conduct sentence. That line is the ask. The protection is not redaction. It is keeping the letter off machines you do not control.
Airplane mode is a blunt test. If you can still scan character certificate to PDF on phone with the radios off, the letter did not leave.
